General
What is RingMind?
RingMind gives your business an AI assistant built for your industry. It answers calls, texts and WhatsApp messages on your business number, takes messages and transfers callers, and your team follows every conversation in one shared inbox. See how it works.
Who is RingMind for?
Small and growing businesses that get more calls and messages than they can comfortably answer: trades, hotels and restaurants, practices and studios, professional firms, property teams and online stores. There's also a personal secretary for individuals and a setup for agencies that run assistants for clients.
Is RingMind available now?
Yes, in early access. Industry assistants are offered once they pass their tests, and each industry page shows whether its assistant is available now or still in testing.
Can the assistant handle every customer request?
No. It answers from your business details and approved knowledge. When it doesn't know, it says so and offers to take a message or transfer the caller. It won't give medical, legal or financial advice.
Will callers know they're talking to an AI?
Yes, if they ask. Every RingMind assistant says it's an AI assistant for your business when asked and never pretends to be a person. You can also say so in your greeting.
What languages does the assistant speak?
Each assistant has a language setting: English (US or UK), Spanish (US or Mexico), French (Canada or France), Portuguese (Brazil), German or Italian. The industry templates and their tests are written in English, so write your greeting and details in the language you choose and try it in the playground. An assistant that switches language per caller, the multilingual receptionist, is on the roadmap.
AI assistants
What is an industry assistant?
A ready-made starting point for a kind of business, with instructions, the details it needs from you, safety rules and test conversations. You add your own details and knowledge on top. Browse them in AI assistants.
Which assistants are built today?
Twelve: personal secretary, hotel, restaurant, plumbing, HVAC, dental office, salon and spa, legal intake, real estate, property management, e-commerce support and a general business receptionist. Others in the catalog are marked as planned, and the general business receptionist covers the basics for those businesses today.
What happens when the assistant can't answer a question?
It says it doesn't know rather than guessing, and offers to take a message or transfer the caller to someone on its transfer list. The AI Supervisor also lists questions it couldn't answer, so you can add the answer to its knowledge.
Can it book appointments?
Yes, when you connect Calendly, Google Calendar or Microsoft Outlook and enable its booking tools. Without a connected calendar, it takes a booking request with the caller's details for your team to confirm. See AI appointment booking.
How does it take messages?
It collects the caller's name, best number, what they need and how urgent it is, then reads the details back. Messages appear in Calls & Messages, urgent ones are emailed to your team, and any message can become a task in one click.
What won't the assistant do?
It won't invent prices, availability or policies, won't accept card numbers, bank details or passwords, and won't give medical, legal or financial advice. Anyone describing a life-threatening emergency is told to hang up and call 911.
Setup
How does setup work?
Choose an assistant, fill in your business details and greeting, add knowledge, publish and test it, then choose a plan, get a number and connect it. How long that takes depends mostly on how much you want it to know. The how it works page walks through each step.
How do I customize my assistant?
Fill in your business details, write a greeting, add your own instructions and build a knowledge base from FAQs, single web pages and .txt or .md documents. Imported content is used only after you approve it. See the knowledge base guide.
Can I test it before going live?
Yes. Automatic test conversations check the basics, and a chat playground lets you talk to the published assistant exactly as a customer would. Customers reach it only once you connect a number or turn on web chat.
Do I need technical skills?
No. You fill in forms, review imported content and test in the browser. Connecting some integrations needs an API token or a sign-in from that app.
Can I upload PDFs or import my whole website?
Not yet. Web import brings in one page at a time, which you review before it's used, and documents can be .txt or .md files. PDF and Word files aren't supported.
What happens when I change my details later?
The assistant page shows that you have unpublished changes. Publish again and the live assistant is updated.
Calls & numbers
Do I need a new phone number?
Yes. Your assistant answers a local or toll-free RingMind number in the US or Canada, which you search for and buy in the app. See phone numbers.
Can I keep my current phone number?
Yes, if it's a US number. Request the move in Phone Numbers with a signed letter of authorization and a recent bill; it usually takes one to three weeks, and the number keeps working with your current provider until then. Mobile numbers usually can't be moved without changing your carrier plan. See moving a number.
Can it transfer calls to my cell phone?
Yes. Add your mobile, or anyone else's number, to the assistant's transfer list of up to five people. It tells callers who they're being connected to, and the call shows your business number as caller ID. See AI call transfer.
What happens if two people call at once?
Each call is answered as its own conversation, so one caller doesn't hear another. If you expect large spikes in call volume, contact us to talk through your setup.
Do I get call recordings or summaries?
Calls the assistant handles have a full transcript and a short AI-written summary, and voicemails are transcribed and summarized. Calls your team answers aren't transcribed, but you can turn on recording for them; callers hear a notice first.
Can I set business hours or make outbound calls?
Yes to both. Each number can follow your business hours, and click-to-call rings your phone and then connects the customer from your business number.
Can calls ring my team first and go to the AI only if nobody answers?
Yes. Choose "Ring my team" in a number's call handling: up to five phones ring at once, and if nobody answers the call goes to the assistant, to voicemail, or ends, as you choose.
Messaging
Does the assistant reply to texts?
Yes, once you turn on messaging for the assistant and SMS for its number. Texts and replies appear in the shared inbox alongside calls.
What is 10DLC and do I need it?
In the US, carriers require businesses to register before texts are reliably delivered: 10DLC registration for local numbers, verification for toll-free ones. Our support team helps you register. See SMS and WhatsApp.
Does it work on WhatsApp?
Yes. Connect WhatsApp Business to your RingMind number through Meta's sign-up and the same assistant replies to WhatsApp messages. WhatsApp depends on Meta approving your business and your account being eligible. See WhatsApp Business.
What is WhatsApp's 24-hour window?
After a customer messages you, you and your assistant can reply freely for 24 hours. To message someone first, or after that window, your team sends an approved text template from RingMind.
Can the assistant chat on my website?
Yes. Turn on web chat for an assistant and add the snippet RingMind gives you to your site; visitors then chat with the assistant by text. See AI website chat.
Can the assistant send pictures or message customers first?
No. The assistant replies to customers who write in, and WhatsApp templates are text only. Images and files that customers send do show up in the conversation.
Inbox & team
What is the shared inbox?
Conversations brings every call (with its transcript), text, WhatsApp message and message taken into one timeline per contact. Replies from the assistant and from your team are labelled separately. See shared inbox.
Can my team take over from the AI?
Yes. Choose Take over in a conversation and the assistant stops replying to that contact's texts and WhatsApp messages until you hand it back. On a live call, use transfers to bring in a person.
Who can see conversations?
People on your workspace team, according to their role, and your agency's team if an agency manages your workspace. If you report a problem with a call, you choose whether support can see its transcript.
What roles can team members have?
Owners can do everything, including the plan and phone numbers. Admins publish assistants, connect integrations and approve actions; members edit assistants and reply to customers; viewers can read but not change anything.
What does the AI Supervisor do?
Once a day, or when you choose Review now, it checks conversations by rule: questions the assistant couldn't answer, callers who asked for a person or sounded frustrated, failed tool actions and texts waiting too long for a reply. It works by rules, not AI judgment, so it can miss things or raise false alarms.
Does RingMind keep contacts and tasks?
Yes. Contacts are created from calls and messages automatically, and names or notes your team adds are never overwritten. Tasks have due dates, show when they're overdue and can be made from a message in one click.
Integrations
Which apps does RingMind connect to?
31 integrations, including CRMs, calendars, help desks, project tools and knowledge sources, all currently in Beta: built and tested, but not yet verified with every account type. See integrations.
What can the assistant do with an integration?
Only what you enable. Depending on the app, that can mean looking up a caller, capturing a lead, logging a call, opening a ticket, booking an appointment or answering from approved pages.
How are integrations secured?
Tokens are encrypted and never shown again after you save them, and some apps connect by signing in instead. Tools that change records or send messages need your confirmation when you enable them, and logs keep only which tool ran and whether it worked, not what callers said. See integrations and approvals.
What are approvals?
Actions that delete records or involve money always wait for an owner or admin in Approvals, and you can require approval for any other tool. Requests expire if nobody decides within a day.
What does Beta mean for integrations?
Each integration is built and tested request by request, but hasn't yet been verified with every type of account. Check the first few results after you connect one, and contact us if something looks wrong.
Agencies
Can I manage assistants for my clients?
Yes. Turn your workspace into an agency and add a separate workspace for each client. Your team opens every client with the role it already has, and clients never see each other's data. See RingMind for agencies.
How does the shared agency plan work?
Client workspaces are covered by the agency's subscription. Numbers, assistants and AI minutes count across the agency and all its clients, and usage beyond the plan is invoiced to the agency.
Can I set limits per client?
Yes. Agencies can cap how many numbers and assistants each client workspace may have. The Clients overview shows each client's recent calls, messages, live assistants, open tasks and AI Supervisor flags.
Can I reuse an assistant across clients?
Yes. Copy an agency assistant into a client as a draft, with its greeting, details and instructions. Knowledge, tools and transfers stay per client, so you add those for each one.
How do I hand a workspace over to my client?
Invite the client's owner to their workspace. Then you can release the client, or the client's owner can remove the agency. A client without its own owner can't be released, so nobody is left without access.
Can I white-label RingMind?
Not at the moment. Client workspaces show RingMind branding and are marked as managed by your agency.
Billing
How is billing calculated?
Each plan includes a set number of AI minutes, phone numbers and published assistants. AI minutes count each answered call by started minute, and minutes beyond your plan are charged at its rate on your next invoice. See pricing.
What if I go over my included minutes?
Your assistants keep answering. Extra minutes are added to your next renewal invoice at your plan's rate, and you can follow usage on Billing & Usage.
Can I cap my usage charges?
Yes. The owner can set a monthly cap on extra-minute charges. Once it's reached, the page warns you, your assistants keep answering and you aren't charged more than the cap for that billing period.
Can I pay yearly?
Plans can be billed monthly or yearly. You choose when you subscribe, and the owner can change it later under Manage billing.
Can I change plans or cancel?
Yes. The owner opens Manage billing to change plan, update the card, download invoices or cancel. A scheduled cancellation is shown on the subscription page. See plans and billing.
Who handles my card details?
Card payments are processed by Stripe, and card details never reach RingMind. Only the workspace owner can choose a plan or buy numbers.
Privacy & security
How does RingMind protect my data?
Each workspace's data is kept separate, integration tokens are encrypted, and tool logs keep only which tool ran and whether it worked. Imported knowledge is used only after you approve it. See privacy and security.
Does RingMind support two-factor sign-in?
Yes. Turn on two-factor sign-in with an authenticator app in Settings → Security. You can also sign out other sessions from there.
What if I lose my authenticator app?
When you turn on two-factor sign-in you get recovery codes, each usable once, to sign in without the app. You can generate a new set at any time, which cancels the old ones.
Can I export or delete my data?
Yes. Owners and admins can download everything in the workspace from Settings as a data file, which leaves out credentials. You can also delete your workspace and its data, or delete your own account.
Will the assistant ask callers for sensitive details?
No. Assistants never ask for or accept card numbers, bank details, passwords or government ID numbers. Office assistants such as the dental receptionist stay administrative and never give clinical advice.
Can I see what the assistant did with my tools?
Yes. Every tool call is listed on the assistant's page with whether it worked, without the details callers gave. Risky actions show up in Approvals before they run.
Early access
What does early access mean?
RingMind's core features are built and working, and industry assistants become available one by one as they pass their tests. Early access members hear about each step first.
How do I join early access?
Fill in the early access form with your type of business and the channels you want to use. We'll email you launch updates and opportunities that fit.
When will RingMind open to everyone?
We haven't set a public date. Early access members are the first to hear, and each industry page shows live whether its assistant is available.
My industry's assistant isn't built yet. What can I do?
Start with the general business receptionist and give it your own details, instructions and knowledge. Join early access to hear when a specialist assistant for your industry arrives.
Can I get a demo or talk to someone?
We don't run demos, but you can try an assistant yourself in the chat playground before connecting a number. For questions about your setup, contact us.
