One phone, many kinds of job
Home services businesses share the same problem: the people who could answer the phone are under a sink, on a roof or driving between houses. Calls range from a quote for a deep clean to water coming through a ceiling, and the caller usually wants to know whether someone can come and when.
Which assistant fits your trade
RingMind offers ready-made assistants, called brains, with rules for specific trades. Each one has to pass automatic tests before it's offered, and each page below shows the assistant's live status.
- Plumbing. The plumbing assistant spots burst pipes, flooding, sewage backup and gas smells, and gives the first safety step.
- Heating and cooling. The HVAC assistant prioritises no-heat and no-cooling calls and handles carbon monoxide alarms.
- Electricians, roofers and cleaners. Dedicated assistants for electricians, roofing companies and cleaning companies are in the catalog but not built yet. Until they are, those pages explain how to use the general business receptionist instead.
What every home services assistant does
- Captures the job: the problem, the address or area, access details, the caller's name and best number, read back before the call ends.
- Answers from your details: hours, service area, services and any prices you list. Anything it doesn't know becomes a message, not a guess.
- Marks urgent messages so they're emailed to your team, and shows every message in Calls & Messages, where it can become a task.
- Books visits if you connect Google Calendar, Calendly or Microsoft Outlook. Without a calendar, it takes a request and says the team will confirm.
- Transfers callers to up to five people, such as an on-call technician, once a RingMind number is connected.
What it won't do
- It won't promise an arrival time or quote a price you haven't given it.
- It won't diagnose the problem or walk callers through repairs, beyond the safety steps built into the trade assistants.
- It never takes card numbers, and it says it's an AI if asked.
- It tells anyone describing a life-threatening emergency to call 911.
Setting it up
- Choose the assistant for your trade on the AI assistants page, or the general business receptionist.
- Fill in your hours, service area, services and emergency policy.
- Add common questions to the Knowledge Base, such as the towns you cover or whether estimates are free.
- Publish, run the tests and try it in the playground.
- Get a RingMind number and connect it. See phone numbers and transfers.
Limits to know
RingMind numbers are US and Canada only, and porting an existing number isn't available yet. The assistant answers every call on its number, day and night; there are no time-of-day rules. It doesn't place outbound calls. If you turn on texting, US numbers need 10DLC registration first. Integrations such as HubSpot are in Beta. Plans are on the pricing page.
