The calls a plumbing business gets
Some calls are routine: a slow drain, a dripping tap, a water heater quote, a question about whether you cover a particular town. Others are urgent: water pouring through a ceiling, a burst pipe in the basement, sewage backing up, no water at all, or a caller who can smell gas. Both kinds tend to arrive when you're mid-job and can't pick up.
What the assistant does
- Captures the job. It asks what the problem is, the address, how to get access and how urgent it is, takes the caller's name and best number, and reads it all back.
- Spots emergencies. Active leaks, burst pipes, flooding, sewage backup, no water and gas smells are treated as urgent. The assistant follows the emergency call-out policy you write, for example "24/7 emergency call-outs; the on-call plumber calls back", and marks the message urgent so it's emailed to you.
- Gives the first safety step. For an active leak, it suggests turning off the main water shut-off valve if it's safe to do so. If the caller smells gas, it tells them to leave the building and call the gas company's emergency line or 911 from outside.
- Takes service-visit requests for routine jobs. Connect a calendar such as Calendly or Google Calendar and it can offer real open slots and book them; otherwise it takes the request and says the team will confirm.
- Transfers urgent callers to the on-call plumber, if you add them to your transfer list (up to five people) and a number is connected.
What it won't do
- It won't quote prices or call-out fees you haven't given it. If your services list includes prices, it can quote those; anything else becomes a message.
- It won't promise an arrival time it doesn't know.
- It never takes card numbers over the phone.
- It tells callers it's an AI assistant if they ask.
Setting it up
- Choose the plumbing receptionist in the Brain Marketplace.
- Enter your hours, service area, services and your emergency call-out policy, which is required.
- Add FAQs to the Knowledge Base: which areas you cover, whether you give free estimates, what brands of water heater you install.
- Publish, run the automatic tests (including the burst-pipe and gas-smell scenarios) and try it in the playground.
- Get a RingMind number, connect it to the assistant and add your on-call plumber to the transfer list.
Working through the messages
Every call has a transcript. Job requests arrive in your dashboard with the address and urgency, and you can turn each into a task for whoever is dispatching. Turn on texting and customers can send details by SMS too; US texting requires carrier 10DLC registration first.
