The calls a cleaning company gets
Callers want a price for a regular clean, a move-out clean or an office contract. They ask which days you have free, whether you bring supplies, whether you clean ovens or windows, and whether you cover their neighbourhood. Existing customers call to skip a week, change a day or add a room.
Where the cleaning assistant stands
A dedicated cleaning service assistant is in RingMind's catalog but hasn't been built and tested yet. This page shows its live status. Today, the general business receptionist handles these calls with your business details.
What it does for a cleaning company
- Collects quote details: the type of clean, property type and size, how often, preferred days, address, name and best number. It reads them back and says the team will send a price.
- Quotes your listed prices. If your services list says "standard clean for a two-bedroom flat" with a price, it can quote that. If a job isn't listed, it takes a request.
- Takes changes from regular customers, such as skipping a week or moving a day, as messages for your team.
- Books when a calendar is connected. With Google Calendar or Calendly, it can offer open times. Without a calendar, bookings are requests your team confirms. See AI appointment booking.
- Answers texts if you turn on SMS, so customers can send a quick change by text. US texting needs 10DLC registration first.
What it won't do
- It won't invent prices, availability or what's included in a clean.
- It won't take card numbers for deposits.
- It won't tell a caller a booking is confirmed when it has only taken a request.
- It says it's an AI if asked.
Setting it up
- Choose the general business receptionist on the AI assistants page.
- Enter your hours, service area, services and any prices you want quoted.
- Add FAQs to the Knowledge Base: supplies, pets, keys and access, your cancellation policy.
- Publish, run the tests and try a quote request in the playground.
- Get a RingMind number and connect it.
After the call
Every call is saved with a transcript. Quote requests and changes arrive in Calls & Messages, where you can turn each into a task. Contacts are created from calls and texts, so you can see a regular customer's history in one timeline. You can also record requests in Airtable or alert the team in Microsoft Teams. Integrations are in Beta.
Limits to know
US and Canada numbers only, no porting yet, no outbound calls, no automatic follow-up texts after a call. See home services for other trades and pricing for plans.
