What it's planned to handle
Answers inventory and service enquiries.
- Answers questions about vehicles in stock using the inventory details the dealership keeps up to date
- Takes test-drive requests with the vehicle of interest, preferred time and contact details
- Sorts sales, service and parts callers and transfers them to the right team
- Captures trade-in enquiries (year, make, model, mileage) for a salesperson to follow up
What you'd fill in
- Current inventory or a link to where it is published
- Sales, service and parts department hours
- Who handles sales, service and parts calls
- Test-drive requirements such as a driver's license
- Your trade-in process
Questions it's meant for
Rules it would follow
- Never quote a vehicle price, financing rate or trade-in value; a salesperson confirms those.
- Do not confirm a specific vehicle is available unless it is in the current inventory details.
How assistants are released
Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.
Tools it would work with
The dealership phone problem
A dealership's main number carries three businesses at once: sales, service and parts. Callers asking about a car they saw online wait on hold behind someone booking an oil change, and the service desk spends time redirecting parts questions. When a lead hangs up, the sale may go somewhere else.
How the planned Dealership Assistant is meant to work
The planned assistant would answer questions about vehicles in stock from inventory details the dealership keeps current, take test-drive requests with the vehicle and preferred time, capture trade-in details for a salesperson, and send each caller to the right desk. It would never quote a vehicle price, financing rate or trade-in value, and would only mention vehicles that appear in the current inventory details. This assistant is planned and not available yet.
Use RingMind for this today
The General Business Receptionist can do the sorting and the first answers now:
- Business details: list sales, service and parts as departments, with each department's hours.
- Knowledge base: add FAQs on test-drive requirements, your trade-in process, service intervals and where your inventory is published. It answers only from approved items, so it won't confirm a specific car unless you've added it.
- Additional instructions: tell it to ask whether the call is about sales, service or parts, to collect the vehicle of interest and contact details, and never to discuss prices or rates.
- Transfer list: add up to five people, for example a sales lead, a service advisor and the parts counter (transfers).
- Connected tools: connect HubSpot to capture sales leads, and a calendar such as Google Calendar if you want service visits booked.

Dealership AI Assistant: questions
Is it available now?
No. The Dealership Assistant is planned and not available yet. You can use the General Business Receptionist today, and you can join early access to hear when the Dealership Assistant is ready.
Can it check live inventory?
Not today. The General Business Receptionist answers from the details and approved knowledge you add, so keep any inventory FAQs current or point callers to your website.
Will it quote prices or financing?
No. Prices, financing rates and trade-in values are always left to a salesperson.
How does it send callers to sales, service or parts?
It asks what the call is about and transfers to the right person on your transfer list of up to five people. If you prefer, a keypad menu on the number can send callers to a person, the assistant or voicemail first.
Can it record test-drive requests in our CRM?
If you connect HubSpot, it can capture the caller as a lead. Otherwise the request is taken as a message for your sales team.
