Capture every new enquiry as a lead in your CRM

Your RingMind assistant asks new callers the questions your team would ask, then records the lead in your CRM or in RingMind's own contacts.

Where leads get lost

New enquiries arrive while everyone is busy. The details end up on a sticky note, in a voicemail, or nowhere at all, and nobody adds them to the CRM until days later, if ever.

How lead capture works in RingMind

  • The assistant asks the qualifying questions. Each industry assistant knows what to collect. The real-estate assistant asks buyers about timeline, price range, area and financing. The law-firm intake assistant asks about the type of matter and the other parties involved so you can run a conflict check. You can add your own questions in Additional instructions.
  • It confirms the details. It collects the caller's name, the best number to reach them and a short reason, then reads them back.
  • It records the lead. With a CRM connected, it creates the lead and adds a note about the call. Without one, the details stay in RingMind.

What each CRM integration does

  • [HubSpot](/integrations/hubspot): looks up whether the caller is already a contact, captures a new lead, logs a call note and creates a follow-up task. Looking up a contact returns only their name and company.
  • [Salesforce](/integrations/salesforce): creates a lead, logs the call outcome and creates a follow-up task.
  • [Pipedrive](/integrations/pipedrive): creates a lead and adds a note.
  • [Zoho](/integrations/zoho): looks up a record and creates a lead.

You can also alert your team in Microsoft Teams or start your own n8n workflow when a lead comes in.

Even without a CRM

RingMind creates a contact for every caller and message sender, with their calls, texts and messages in one timeline in Conversations. Names and notes your team adds are never overwritten. Any message the assistant takes can become a task in one click.

What the assistant won't do

  • It won't promise outcomes, quote prices it hasn't been given, or give valuations or legal opinions. It offers an appointment or a callback instead.
  • It won't take card numbers, bank details or ID numbers.
  • Tools that change existing records or send messages need your confirmation when you turn them on. Anything that deletes records waits for an owner or admin in Approvals.

Setup

  • Connect your CRM in Integrations, with a token or by signing in, depending on the CRM.
  • Turn on the CRM tools on the assistant's page, then publish it again.
  • Try a few test enquiries in the playground and check the leads that appear in your CRM.

Limits to know

  • All integrations are in Beta. Check your first few leads, especially default fields such as status, which can differ from account to account.
  • Tool logs record which tool ran and whether it worked, not what the caller said. See privacy and security.

Questions

Which CRMs does lead capture work with?

HubSpot, Salesforce, Pipedrive and Zoho. All are in Beta. You connect one in Integrations and turn on its tools for the assistant.

Do I need a CRM to capture leads?

No. RingMind creates a contact for every caller and keeps their calls and messages in one timeline. Messages the assistant takes can become tasks in one click.

Does the assistant recognise existing customers?

With HubSpot or Salesforce connected, it can look up whether the caller is already a contact. A HubSpot lookup returns only the contact's name and company.

Can I change which questions it asks?

Yes. Each industry assistant starts with its own questions, and you can add more in Additional instructions on the assistant's page.
