What a small business usually needs from a phone system
A number customers can call, someone to answer, a way to reach the right person, a record of who called, and texts that don't get lost on one person's mobile. Traditional office phone systems add desk phones, extensions and hold music. RingMind covers the first list with an AI assistant on the line. Read more on the business phone page.
What's included
- A business number. Search for a local or toll-free number in the US or Canada and buy it in the dashboard. See virtual business phone number.
- An AI assistant that answers. Choose a ready-made assistant on the AI assistants page, add your business details and connect it to the number.
- Transfers to up to five people on the assistant's list, with your RingMind number as caller ID. See AI call transfer.
- Messages with name, number, reason and urgency, plus email alerts for urgent ones.
- Call history with transcripts.
- Texts and WhatsApp on the same number if you turn them on, answered by the same assistant.
- One shared inbox where your team sees every caller's calls, texts and WhatsApp messages, replies by text and takes over from the assistant. See AI receptionist vs shared inbox only.
- Team roles so owners, admins, members and viewers see and do the right things.
What it doesn't do yet
Being clear about this saves you a surprise:
- No porting. You can't move an existing number to RingMind yet.
- No outbound calls. The number receives calls; your team can't place calls from RingMind.
- No plain forwarding. Every call is answered by the assistant first.
- No time-of-day routing, no extensions and no phone menu. Callers talk to the assistant, which routes them by transfer. Compare this with a menu in AI receptionist vs IVR.
- No desk phones or softphone app. Transfers ring the people on your list at their own numbers.
- No call recordings to play back; you get transcripts.
- US texting needs registration (10DLC for local numbers, verification for toll-free) before texts are reliably delivered. See SMS and WhatsApp.
When it fits
RingMind suits businesses that mostly receive calls and want them answered, sorted and recorded: trades, clinics' front desks, salons, hotels, property managers and offices. If your team spends the day making outbound calls, or you need desk phones and extensions, a traditional phone system is the better choice today.
