What a shared inbox does well
A shared inbox collects customer messages from several channels so your team can see who's handling what, avoid answering twice and keep the history in one place. Many tools add assignment, internal notes, tags and reporting. If you have enough people to answer every message quickly, a shared inbox on its own may be all you need.
The limit is that every message waits for a person. Out of hours, or when everyone is busy, customers wait. Most shared inboxes also don't answer the phone, so calls live somewhere else.
What RingMind does differently
RingMind's shared inbox has an AI assistant that answers first.
- Calls are answered by the assistant on your RingMind number, and each call appears in the inbox with its transcript.
- Texts and WhatsApp messages are answered by the same assistant from your approved Knowledge Base.
- One timeline per contact shows calls, texts, WhatsApp messages and messages taken, with assistant and team replies labelled.
- Your team takes over any text or WhatsApp conversation with one click, replies from the inbox, then hands it back. See SMS, WhatsApp and taking over.
- Messages taken become tasks with due dates, and urgent ones are emailed.
- The AI Supervisor reviews transcripts each day and flags questions the assistant couldn't answer, callers asking for a person and texts waiting for a reply. It's rule-based, so it can miss things or raise false alarms.
Where a shared inbox on its own is the better choice
- You have the staff to answer every message promptly and want a person on every reply.
- You need channels RingMind doesn't cover, such as email or social media direct messages.
- You rely on assignment rules, tags or detailed team reporting.
Where an AI receptionist fits better
- Customers call as well as message, and you want both in one place.
- Many questions are routine and can be answered from approved information.
- Messages arrive when no one is free, such as evenings and weekends.
Honest limits
- Takeover applies to texts and WhatsApp, not to phone calls in progress.
- If a contact writes at the exact moment you take over, one assistant reply can occasionally get through.
- On WhatsApp, free-form replies are only possible within 24 hours of the customer's last message; after that you send an approved template.
- US texting needs 10DLC registration, and your team can't send pictures from the inbox yet.
- Phone numbers are US and Canada only, with no porting yet and no outbound calls.
- RingMind has no email channel.
