What a website chatbot does well
A chatbot sits on your website and answers visitors in text. It can explain your services, point people to the right page and collect contact details. For businesses where nearly every enquiry starts online, such as many online stores, a chatbot may cover most of what customers need.
Its limit is reach. A chatbot doesn't help someone who calls you, texts your number or messages you on WhatsApp, and those customers still need an answer from somewhere.
What RingMind covers
RingMind is an AI assistant that works across channels, all answering from the same approved Knowledge Base:
- Phone calls: answers every call on its number, day and night, can handle several calls at once, takes messages, transfers to up to five people and books through a connected calendar.
- SMS and WhatsApp: replies to text messages. See SMS and WhatsApp for the rules below.
- Website chat: a text-only chat widget you add to your site. See AI website chat.
- One inbox: calls (with transcripts), texts, WhatsApp messages and messages taken appear in one timeline per contact. Your team can take over a conversation and hand it back.
Through integrations such as Shopify or Zendesk, it can look up orders after verification or open support tickets. Sensitive actions, like deleting records or anything involving money, wait for an owner or admin to approve.
Where a website chatbot alone is the better choice
- Nearly all enquiries arrive through your website.
- You rarely receive calls or text messages.
- You only need text answers and lead capture on your site.
Where an AI receptionist fits better
- Customers contact you by phone, text and WhatsApp as well as on your website.
- You want one set of approved answers across every channel instead of keeping several tools in step.
- You want calls handled as well as chats.
Honest limits
- US carriers require business registration (10DLC for local numbers, verification for toll-free) before texts are reliably delivered.
- On WhatsApp, free-form replies are possible for 24 hours after the customer's last message; after that, you need an approved template.
- The assistant can misunderstand, follows the rules you set and can't do what isn't connected. Integrations are in Beta.
- It won't accept card numbers in any channel.
