What it's planned to handle
Front desk for insurance agencies.
- Finds out whether the caller wants a quote, has a question about an existing policy or needs to report a claim.
- Collects basic details for quote requests, like the type of cover and timeline, for an agent to follow up.
- Shares the insurer's claim reporting number and steps from your approved information.
- Books review appointments with agents.
- Takes service messages, such as address or vehicle changes, for the team.
What you'd fill in
- Lines of insurance you write
- Agents and the lines or clients each one handles
- Claim reporting contacts for each insurer you work with
- Office hours and appointment availability
Questions it's meant for
Rules it would follow
- Never state what a policy covers, whether a claim will be paid, or quote premiums; an agent confirms all of that.
- Never bind, change or cancel cover; take a message for a licensed agent.
- If someone is hurt in an accident, tell them to call 911 first.
- Never ask for government ID numbers or bank details.

Tools it would work with
Quotes, service and claims on one line
Insurance agencies take very different calls on the same number: someone wanting a home quote, a client changing a vehicle, and a caller who has just been in an accident. Each needs a different agent and a different set of details, and the caller in distress needs clear first steps.
How the planned Insurance Office Assistant is meant to work
The Insurance Office Assistant is planned and not yet available. It is being designed to find out whether the caller wants a quote, has a policy question or needs to report a claim; collect basic details for quote requests; share each insurer's claim reporting number from your approved information; book review appointments; and take service messages. It would never state what a policy covers, whether a claim will be paid or what a premium will be, and would never bind, change or cancel cover.
Use RingMind for this today
Start from the General Business Receptionist:
- Business details: list the lines of insurance you write and your office hours.
- Knowledge Base: add approved FAQs with the claim reporting contact for each insurer you work with, and how quotes and reviews work. See the Knowledge Base guide.
- Additional instructions: name agents and the lines they handle, list what to collect for a quote, and state firmly that coverage, claim outcomes and premiums are always confirmed by a licensed agent. If someone is hurt, they call 911 first.
- Connected tools: connect your agents' Microsoft Outlook calendar for reviews, and Salesforce or HubSpot to capture quote requests.
- Transfer list: add your agents, then turn on Transfer calls in Tools.

Insurance Office AI Assistant: questions
Is it available now?
Not yet. The Insurance Office Assistant is planned. Today you can set up the General Business Receptionist to sort quote, service and claim calls, and join early access for the dedicated version.
Will it tell a client whether something is covered?
It shouldn't. Add a firm rule that coverage, claim outcomes and premiums are only confirmed by a licensed agent, and it will take a message or transfer the caller.
What does it do when someone reports an accident?
If anyone is hurt, it tells them to call 911 first. It can then share the insurer's claim reporting contact from your knowledge base and take a message for an agent.
Can it change or cancel a policy?
No. It takes the request as a message for a licensed agent.
Will it ask for ID or bank details?
No. Every RingMind assistant refuses card numbers, bank details and government ID numbers.
Can it give quotes?
No. It collects basic details such as the type of cover and timeline so an agent can follow up with a quote.
