An AI receptionist for independent insurance agencies

RingMind can answer your agency's phone, collect quote requests and pass policy questions to the right agent. It doesn't quote premiums or confirm coverage. The dedicated insurance assistant isn't built yet.

What callers ask an insurance agency

New callers want a quote for car, home or business insurance. Existing clients want to add a driver, change an address, ask for a certificate or ask what their policy covers. Some call right after an accident or a burst pipe, wanting to know how to file a claim.

Where the insurance assistant stands

A dedicated insurance office assistant is in RingMind's catalog but hasn't been built and tested yet; this page shows its live status. Today, the general business receptionist handles these calls with your agency's details.

What it does for an agency

  • Takes quote requests with the caller's name, best number, the type of insurance and the basic details your agents ask for first. It reads them back and says an agent will follow up. See AI lead capture.
  • Takes service requests from existing clients, such as policy changes or certificate requests, as messages for the right agent or department.
  • Answers office questions from your business details and Knowledge Base: hours, location, the lines of insurance you write, and the carriers' claims phone numbers if you list them.
  • Books meetings if you connect Calendly or a calendar. Otherwise it takes a request.
  • Transfers callers to up to five people, such as a claims contact, once a RingMind number is connected. See AI call transfer.

What it won't do

  • It won't quote premiums or say whether something is covered. It never invents prices or policy facts, and coverage questions go to an agent.
  • It won't bind, change or cancel a policy; it takes the request.
  • It never accepts card numbers, bank details or government ID numbers.
  • It says it's an AI if asked, and tells anyone describing a life-threatening emergency to call 911.

Add an instruction such as "never say whether something is covered" and test it in the playground. It isn't part of a tested brain yet.

Setting it up

  1. Choose the general business receptionist on the AI assistants page.
  2. Enter your hours, the lines you write and the agents or departments callers ask for.
  3. Add FAQs to the Knowledge Base, such as what to have ready for a quote.
  4. Publish, run the tests and try it in the playground.
  5. Get a RingMind number and connect it.

After the call

Calls are saved with transcripts and quote requests arrive in Calls & Messages. Capture leads in HubSpot or Salesforce if you connect them; integrations are in Beta. For related professional offices, see the accounting firm page.

Limits to know

US and Canada numbers only, no porting yet, no outbound calls, and no time-of-day rules. Plans are on the pricing page.
