An AI receptionist for accounting and bookkeeping firms

Tax season fills the phone with routine questions. RingMind can answer them from your details, take messages for the right accountant and request meetings. The dedicated accounting assistant isn't built yet.

The calls an accounting firm gets

Clients ask when their return will be ready, what documents to bring, whether you've received their paperwork, what your fees are and whether they can book a meeting. New callers want to know if you handle small businesses, payroll or a particular kind of return. Around deadlines, the same questions arrive many times a day.

Where the accounting assistant stands

A dedicated accounting office assistant is in RingMind's catalog but hasn't been built and tested yet; this page shows its live status. Today, the general business receptionist handles these calls with your firm's details.

What it does for an accounting firm

  • Answers routine questions from your business details and Knowledge Base: office hours, what to bring, how to send documents, services you offer, deadlines you've written down.
  • Takes messages for the right person. List your accountants or departments, such as Tax, Payroll or Bookkeeping, and it takes the caller's name, number and reason for that person.
  • Requests meetings. With Microsoft Outlook, Google Calendar or Calendly connected, it can offer open times. Without a calendar, it takes a request your team confirms.
  • Transfers callers to up to five people once a RingMind number is connected.

What it won't do

  • It won't give tax or financial advice. Add an instruction such as "never give tax advice; offer a meeting with an accountant", and test it in the playground. This rule isn't part of a tested brain yet.
  • It can't see client files, so it won't say whether a return is ready or paperwork has arrived. It takes a message.
  • It never asks for or accepts bank details, card numbers or government ID numbers, so it won't ask for tax ID numbers.
  • It says it's an AI if asked.

Setting it up

  1. Choose the general business receptionist on the AI assistants page.
  2. Enter your hours, services and the people or departments callers ask for.
  3. Add FAQs to the Knowledge Base: document checklists, how you deliver returns, your fee policy if you want it quoted.
  4. Publish, run the tests and try a few client questions in the playground.
  5. Get a RingMind number and connect it.

After the call

Every call is saved with a transcript. Messages appear in Calls & Messages and can become tasks. Look up a client's invoices in QuickBooks Online if you connect it; integrations are in Beta. If you run an insurance practice alongside the firm, see the insurance agency page.

Limits to know

US and Canada numbers only, no porting yet, no outbound calls, and no time-of-day rules. Plans are on the pricing page.

Questions

Is there an assistant made for accounting firms?

It's in the catalog but not built yet; this page shows its live status. Today you can use the general business receptionist with your firm's details and instructions.

Will it give tax advice?

It shouldn't. Add an instruction to offer a meeting instead and test it in the playground. The assistant also won't invent facts that aren't in its details or knowledge base.

Can it tell a client if their return is ready?

No. It can't see your client files. It takes a message for the right accountant.

Will it take a client's tax ID number?

No. Every RingMind assistant refuses card numbers, bank details and government ID numbers.
