Available to use today

General Business AI Receptionist

Start from the General Business Receptionist, write your emergency definitions and safety instructions into its instructions, and add your on-call technicians to the transfer list.

What it's planned to handle

Fast intake and routing for urgent service calls.

  • Checks first whether anyone is in danger, and tells them to call 911 if so.
  • Collects the address, a callback number and a short description in a few quick questions.
  • Puts the call through to the on-call technician or dispatcher.
  • Takes an urgent message with all details if no one answers the transfer.

What you'd fill in

  • What your business treats as an emergency and what can wait
  • Your service area
  • Your on-call rota as a transfer list
  • Safety instructions you want given for each type of emergency

Questions it's meant for

Caller: “Our basement is flooding, can someone come now?”
Caller: “I'm locked out of my car on the highway shoulder.”
Caller: “A tree just came down on our garage.”

Rules it would follow

  • If anyone is hurt, in danger, or there is fire, smoke or a gas smell, tell the caller to hang up and call 911 right away.
  • Never promise an arrival time; say the on-call person will confirm it.
  • Keep questions short and get the address and callback number first.

How assistants are released

Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.

Tools it would work with

When the phone line is the emergency line

Restoration companies, locksmiths, towing services and other emergency trades get calls from people in a bad moment: a flooding basement, a car on the highway shoulder, a tree on the garage. Speed matters, the right questions matter, and the call needs to reach whoever is on call without delay.

How the planned Emergency Services Intake is meant to work

Emergency Services Intake is planned and not yet available. It is being designed to check first whether anyone is in danger and, if so, tell them to call 911; collect the address, a callback number and a short description in a few quick questions; put the call through to the on-call technician or dispatcher; and take an urgent message with every detail if no one answers. It would never promise an arrival time.

Use RingMind for this today

Start from the General Business Receptionist:

  1. Business details: describe your emergency services and your service area.
  2. Additional instructions: write your emergency definitions, the safety wording for each type of call, and the order of questions: address and callback number first, then a short description. Add that it never promises an arrival time.
  3. Transfer list: add your on-call technicians or dispatcher (up to five), then turn on Transfer calls in Tools. There's no on-call rota, so update the list when your rota changes.
  4. Take a message: turn it on so every call that isn't transferred is saved with urgency. Urgent messages also appear in notifications. See transfers and messages.
  5. Notify the team: with Microsoft Teams connected (Beta), the assistant can post an alert to your team channel.

Every RingMind assistant tells callers describing a life-threatening emergency to hang up and call 911. See AI call transfer and after-hours answering, or join early access.

Emergency Services Intake: questions

Is it available now?

Not yet. Emergency Services Intake is planned. Today you can set up the General Business Receptionist with your emergency instructions and on-call transfer list, and join early access for the dedicated version.

What if someone is in danger?

Every RingMind assistant tells callers describing a life-threatening emergency to hang up and call 911. For fire, smoke or a gas smell, add that wording to your instructions too.

Can it route to whoever is on call tonight?

It transfers to people on the transfer list, up to five. Business hours on the number can change how calls are handled after closing, but there's no on-call rota, so update the list when the rota changes or describe the order in instructions.

Will it promise when a technician arrives?

It shouldn't. Add a rule that the on-call person confirms the arrival time; the planned assistant treats this as a fixed rule.

Does it call the technician back if the transfer fails?

No. The assistant doesn't make outbound calls. It saves an urgent message with the address and callback number, and urgent messages show in notifications.

Can it open a ticket in our service system?

With ServiceNow connected (Beta) and the incident tool enabled, it can create an incident from the call.
