Auto Repair AI Receptionist: Books repair appointments and answers service questions.

For independent repair shops and service centers whose technicians can't stop to answer the phone. It is meant to book repair visits and answer the questions customers ask before they bring a car in.

Available to use today

General Business AI Receptionist

Set up the General Business Receptionist with your services, hours and estimate policy in its business details and knowledge, add your service advisors as transfer targets, and it will take repair requests and status questions as messages with urgency marked.

What it's planned to handle

Books repair appointments and answers service questions.

  • Takes repair appointment requests with the vehicle's year, make, model and the symptoms the driver describes
  • Answers questions about services offered, shop hours, loaner or shuttle options and drop-off procedures
  • Treats breakdowns, warning lights with smoke or overheating, and unsafe-to-drive situations as urgent and passes them to the service desk
  • Takes messages from customers asking about a car already in the shop so an advisor can call back with an update

What you'd fill in

  • Services you offer and makes or vehicle types you work on
  • Shop hours and drop-off or after-hours key drop instructions
  • How you handle estimates and diagnostic checks
  • Whether you offer towing, loaners or a shuttle
  • Service advisors callers can be transferred to

Questions it's meant for

Caller: “My check engine light came on this morning. Can you look at it this week?”
Caller: “Do you do brake pads and rotors on a pickup truck?”
Caller: “My car's been in since Monday. Is it ready yet?”

Rules it would follow

  • Never quote a repair price or diagnose a fault; offer an inspection or estimate instead.
  • If a driver reports smoke, burning smells or brake failure, tell them to stop driving the vehicle when it is safe to do so.

How assistants are released

Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.

Tools it would work with

Why repair shops lose calls

In most independent shops the people who could answer the phone are under a car. Calls go unanswered while a technician finishes a brake job, and the driver with a warning light simply rings the next shop on the list. Customers whose car is already in the bay call too, wanting to know if it's ready, and each of those calls pulls an advisor away from the counter.

How the planned Auto Repair Receptionist is meant to work

The planned assistant would take repair requests with the vehicle and the symptoms in the driver's own words, answer questions about the services you offer, your hours and drop-off routine, and pass status questions to an advisor as a message. Breakdowns, overheating and anything unsafe to drive would be treated as urgent. It would never quote a price or diagnose a fault; it would offer an inspection instead. This assistant is planned and not available yet.

Use RingMind for this today

You can cover most of this now with the General Business Receptionist:

  1. Business details: add your services, the makes you work on, shop hours and your key-drop instructions.
  2. Knowledge base: write FAQs for the questions you hear every day, such as how estimates and diagnostic checks work and whether you offer a loaner or shuttle. Only approved items are used (how the knowledge base works).
  3. Additional instructions: ask it to collect year, make, model and symptoms, never to quote prices, and to mark smoke, burning smells or brake problems as urgent.
  4. Transfer list: add up to five service advisors so urgent callers can reach a person (transfers and messages).
  5. Connected tools: if you book by calendar, connect Calendly or Google Calendar so it can offer open times; otherwise requests become messages with urgency marked.

Auto Repair AI Receptionist: questions

Is it available now?

No. The Auto Repair Receptionist is planned and not available yet. You can use the General Business Receptionist today, and you can join early access to hear when the Auto Repair Receptionist is ready.

Can it give customers a repair quote?

No. Pricing and diagnosis stay with your team. Today you can tell the General Business Receptionist to offer an inspection or estimate visit instead of quoting.

Can it book repair appointments today?

Only if you connect a calendar such as Calendly or Google Calendar. Without one, it takes the request as a message for your service desk.

What happens when a customer asks if their car is ready?

Today it takes a message with the customer's name, number and vehicle so an advisor can call back. It doesn't have access to your shop management system.

Can it handle breakdown calls?

You can instruct it to treat breakdowns and unsafe-to-drive situations as urgent and transfer the caller to an advisor on your transfer list, or take an urgent message if nobody answers.

Does it work with my existing shop number?

Yes, if it's a US number: you can move it to RingMind, which usually takes one to three weeks while the number keeps working with your old provider. Otherwise the assistant answers a new RingMind number for the US or Canada, which you can publish as your booking line.
