Tools it would work with
Busier around every deadline
Accounting and bookkeeping firms see call volume rise ahead of each filing deadline. Clients ask what to bring, how to upload documents and who to talk to about a letter from the tax office, while prospective clients ask whether you handle small business bookkeeping. Accountants need time for the work itself.
How the planned Accounting Office Assistant is meant to work
The Accounting Office Assistant is planned and not yet available. It is being designed to book consultations and tax appointments with the right accountant, explain which documents to bring and how to send them, answer questions about hours, services and how engagements start, and take messages for client managers with deadlines flagged. It would never give tax, accounting or financial advice, never ask for tax ID or bank details, and never discuss a client's return or account.
Use RingMind for this today
Start from the General Business Receptionist:
- Business details: list your services, such as tax returns, bookkeeping and payroll, and your office hours. Update the hours when they change seasonally, as there is no automatic schedule switch.
- Knowledge Base: add your document checklists, how clients upload or drop off documents, and how new clients get started. See the Knowledge Base guide.
- Additional instructions: name the accountants and which clients or services each covers, flag notices with a deadline as urgent, and say that tax questions always go to an accountant.
- Connected tools: connect Microsoft Outlook or Calendly for appointments.
- Transfer list: add your client managers, then turn on Transfer calls in Tools.
Every assistant refuses bank details and ID numbers on every call. See AI receptionist for accounting firms, or join early access for the dedicated assistant.
Accounting Office AI Assistant: questions
Is it available now?
Not yet. The Accounting Office Assistant is planned. Today you can set up the General Business Receptionist for your firm, and join early access for the dedicated version.
Will it answer tax questions?
No. It shouldn't give tax, accounting or financial advice or say what someone can deduct or owes. Add that rule to Additional instructions and it will take a message for an accountant.
Will it ask clients for their tax ID or bank details?
No. Every RingMind assistant refuses card numbers, bank details and government ID numbers.
Can it explain what documents to bring?
Yes, from the checklists you add to the knowledge base. Keep them short so they work over the phone.
What about a client who received a letter from the tax office?
Describe deadline notices as urgent in your instructions. The message is saved as urgent for the right client manager, or the caller is transferred.
Can it book tax appointments?
Yes, with a calendar connected through Microsoft Outlook, Google Calendar or Calendly. Without one, it takes the request as a message.
