An AI personal secretary that screens your calls

RingMind's personal secretary answers your line, finds out who's calling and why, flags the people you want to hear from, and takes clear messages. It never tells callers where you are or when you'll be back.

Who it's for

Consultants, freelancers, founders and anyone whose phone rings while they're in meetings, on site or simply busy. Some callers matter right away: a key client, your accountant, a family member. Others are sales calls, wrong numbers or people who can wait until tomorrow. Voicemail treats them all the same.

What it does

  • Answers as your assistant. Callers hear a greeting along the lines of "Hello, you've reached Alex's line. This is their assistant. Who's calling, please?"
  • Finds out who's calling and why. It takes the caller's name, best number and reason, and reads them back.
  • Recognises your important contacts. Add a list of people whose messages should be marked urgent. When one of them calls, the message is flagged so you get an email instead of finding it later.
  • Takes meeting and callback requests. When someone wants to set up a call, it collects the details for you to confirm. Connect Google Calendar, Microsoft Outlook or Calendly and it can check availability and book the meeting instead.
  • Puts certain callers through. Add up to five people to the transfer list, such as yourself on another number or a colleague, and the assistant can transfer the call once a RingMind number is connected.
  • Answers texts too. Turn on SMS or WhatsApp and the same assistant screens messages.

What it won't do

Protecting your privacy is its main rule:

  • It never shares your whereabouts. It won't confirm where you are, who you're with or when you'll be back. Asked "Is Alex at the office right now?", it offers to pass on a message instead. This is a required test before the brain is offered.
  • It never shares your schedule or personal details.
  • It won't make commitments on your behalf beyond taking a request.
  • It never asks for or accepts card numbers, bank details or passwords.
  • If someone asks whether they're talking to a person, it says it's an AI assistant.

Setting it up

  1. Choose the personal secretary in the Brain Marketplace.
  2. Enter your name (required), the hours you take calls and what callers usually contact you about.
  3. List your important contacts, one per line.
  4. Publish, run the automatic tests and try a few calls in the playground, including one asking where you are.
  5. Get a RingMind number and connect it to the assistant. Give it out as your contact number. See phone numbers and transfers.

Reading your messages

Messages appear in your dashboard with the caller, their number, the reason and urgency, and you can turn any of them into a task with a due date. Every call is saved with a transcript, so you can read exactly what was said. Calls and texts from the same person appear together in one timeline.

Tools it can connect

Calendar integrations let it book meetings into your diary, and Microsoft Teams can notify you about urgent calls. Integrations are in Beta. Plans are on the pricing page.

Questions

Will it tell callers where I am or when I'll be free?

No. It never confirms where you are, who you're with or when you'll be back. It offers to take a message instead.

How does it treat important callers?

You list the contacts who matter. Messages from them are marked urgent, and urgent messages are emailed to you.

Can it book meetings into my calendar?

Yes, if you connect Google Calendar, Microsoft Outlook or Calendly. Without a connected calendar, it takes the meeting request for you to confirm.
