Tools let your assistant act in your systems, so RingMind sorts them by what they do and adds checks for the risky ones.
What each tool does
Every tool is labelled: Reads data, Creates records, Changes records, Sends messages, Deletes records or Moves money.
- Reading and creating can be enabled straight away.
- Changing records and sending messages need your confirmation when you enable them.
- Deleting records and moving money need confirmation, and every single use waits for an owner or admin to approve it.
You can require approval for any other integration or webhook tool too.
Approvals
When a tool needs approval, the assistant tells the caller it isn't done yet and your team will confirm. The request appears in Approvals, and owners and admins are notified.
For each request, owners and admins see the tool and the details the assistant collected, then choose Approve and run or Reject. Approving runs the action straight away.
- Requests expire after 24 hours. Nothing is done if they expire.
- The details are erased once you decide. Recent decisions keeps only the outcome.
- Members can see that something is waiting, but not the details.
Logs
Every tool call is logged on the assistant's page: when it ran, which tool and whether it worked. Logs don't keep what callers said.
Built-in protections
- If a tool changes after you enabled it, it stops working until you enable it again.
- If a tool fails, the assistant offers to take a message instead.
