Questions it's meant for
How assistants are released
Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.
Tools it would work with
The same questions, every departure
Tour operators and activity companies hear the same questions daily: does the boat tour run in the rain, where do we meet the guide, can we bring a six-year-old. Guides are out on tours when the phone rings, and the office is often one person juggling bookings, emails and walk-ins.
How the planned Tour Booking Assistant is meant to work
The Tour Booking Assistant is planned and not yet available. It is being designed to explain each tour's route, duration, inclusions and fitness level, check open departures and book places for the caller's group, give meeting points, what to bring and your weather and cancellation policy, and capture private and group enquiries with dates and group size.
Use RingMind for this today
Start from the General Business Receptionist:
- Business details: list each tour with duration, inclusions and departure times in Main services or products, plus office hours.
- Knowledge Base: add approved FAQs for meeting points and directions, age and fitness requirements, accessibility, and your weather, cancellation and no-show policies. See the Knowledge Base guide.
- Connected tools: connect Calendly or Google Calendar if your departures live there. Today's calendar tools book time slots; managing seat counts per departure is part of the planned assistant, so describe group limits in instructions or take group bookings as messages.
- Additional instructions: say what to collect for private and group tours, such as date, group size and contact details.
- Transfer list: add your operations lead for same-day changes, then turn on Transfer calls in Tools.
Visitors on the move often prefer messaging, so turn on Answer SMS & WhatsApp; see WhatsApp AI assistant. Join early access to hear when the dedicated assistant is ready.
Tour Booking AI Assistant: questions
Is it available now?
Not yet. The Tour Booking Assistant is planned. Today you can use the General Business Receptionist with your tour details, and join early access for the dedicated version.
Can it book places on a departure?
It can book a time slot in a connected calendar such as Calendly. Tracking seats per departure isn't built, so many operators take group bookings as messages for now.
Will it tell people whether a tour runs in bad weather?
It explains the weather policy you approve in the knowledge base. It can't check the weather or cancel a departure.
Can it give directions to the meeting point?
Yes, from the directions you add to the knowledge base. Keep them short and specific so they work over the phone.
Can it take payment for a booking?
No. RingMind assistants never accept card numbers. Use your usual booking or payment process.
