General Business AI Receptionist
Use the General Business Receptionist with your support teams listed as departments and up to five transfer targets, so it asks what the caller needs and transfers them or takes a message with urgency marked.
What it's planned to handle
Routes technical support calls.
- Identifies the caller's account and the product or service the call is about
- Collects a short description of the problem and how urgent it is
- Transfers the caller to the right support team or takes a message when nobody is available
- Opens a ticket so the conversation isn't lost if the transfer doesn't connect
What you'd fill in
- Support teams or tiers and what each handles
- People or lines to transfer to for each team
- Support hours by team
- What counts as an urgent issue
Questions it's meant for
How assistants are released
Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.
Tools it would work with
The wrong team wastes everyone's time
Technology companies with several support teams or tiers often route calls through a single queue. Callers explain their problem once to the first person, then again after a transfer, and urgent issues sit behind routine ones.
How the planned Technical Support Receptionist is meant to work
The planned assistant would identify the caller's account and the product the call is about, collect a short description and how urgent it is, transfer the caller to the right support team or take a message when nobody is available, and open a ticket so the conversation isn't lost if the transfer doesn't connect. This assistant is planned and not available yet.
Use RingMind for this today
You can set up the General Business Receptionist as a support front desk now:
- Business details: list your support teams or tiers as departments, with what each handles and its hours.
- Transfer list: add up to five people or lines, one per team (transfers). It tells callers who it's transferring them to.
- Additional instructions: describe what counts as urgent, what to ask before transferring, and when to take a message instead.
- Connected tools: connect Zendesk, ServiceNow or Jira Service Management to open tickets, and Microsoft Teams to notify a team channel about urgent calls.
- Knowledge base: add FAQs so simple questions are answered without a transfer.
It routes by conversation, and up to five transfer targets is the current limit. A keypad menu on the number is optional. See AI receptionist vs IVR phone menu.
Technical AI Support Receptionist: questions
Is it available now?
No. The Technical Support Receptionist is planned and not available yet. You can use the General Business Receptionist today, and you can join early access to hear when the Technical Support Receptionist is ready.
How many teams can it route to?
Today the transfer list holds up to five people or lines.
Does it use a press-1-for menu?
Not by default; it asks callers what they need in conversation. You can add a keypad menu to the number that sends callers to the assistant, voicemail or a person.
What if nobody answers the transfer?
It can take a message with urgency marked, and with a help desk connected it can open a ticket.
Can it route differently at night?
Partly. Business hours on the number can ring your team while you're open and send calls to the assistant or voicemail after hours. The assistant's transfer list stays the same, so describe team hours in its instructions.
Can it alert our team in Teams?
With Microsoft Teams connected, it can post a notification. It posts as the user who connected it.
