What it's planned to handle
Starts and tracks return requests.
- Verifies the customer against the order before discussing a return
- Checks the request against the returns window and condition rules in the store's policy
- Collects the items, reason and preferred outcome (exchange or refund) and opens a return request for the team
- Explains how to send the item back and what happens next
- Passes every refund, store-credit or exception request to a person for approval
What you'd fill in
- Returns window and item condition rules
- Items that can't be returned
- How customers send items back
- Exchange versus refund options
- Who approves refunds and exceptions
Questions it's meant for
Rules it would follow
- Never issue, promise or confirm a refund; refunds always go to a person for approval.
- Verify the customer against the order before discussing any order details.
How assistants are released
Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.
Tools it would work with
Returns need consistency
Return requests are where customers are most likely to be unhappy and where staff are most tempted to make exceptions. Handling them consistently against your written policy keeps things fair, and keeping refunds with a person protects your margins.
How the planned Returns Assistant is meant to work
The planned assistant would verify the customer against the order, check the request against your returns window and condition rules, collect the items, reason and preferred outcome, open a return request for your team and explain how to send the item back. Every refund, store credit or exception would go to a person for approval; it would never issue or promise a refund. This assistant is planned and not available yet.
Use RingMind for this today
E-commerce Customer Support already explains your policy and collects return requests:
- Business details: fill in your returns policy, including the window, condition rules and items that can't be returned.
- Knowledge base: add FAQs for how to send items back, exchange versus refund options and what to do with damaged items (knowledge base help).
- Additional instructions: ask it to collect the order number, name, email, item and reason with every return request, and to say clearly that a team member reviews refunds.
- Transfer list: add the person who approves exceptions.
- Messaging: turn on SMS and WhatsApp, which suits customers who want to send a photo of a damaged item.
Each request arrives as a message for your team, who process it in your store. It can check order status through Shopify after verifying the customer, but anything involving money stays with a person. See support for online stores.
