Property Management AI Assistant

Start from the Property Management Assistant, add your floor plans and leasing policies to its knowledge, connect your leasing calendar for tours, and add your leasing agents to the transfer list.

What it's planned to handle

Answers availability questions and books tours.

  • Answers questions about floor plans, amenities, pet policy and parking from your approved information.
  • Asks about move-in date, unit size and household size to match renters to suitable homes.
  • Books in-person or self-guided tours into the leasing calendar.
  • Explains how to apply and what documents are needed.

What you'd fill in

  • Floor plans and the amenities of the community
  • Pet, parking and lease-term policies
  • How to apply and the documents required
  • Leasing office hours and tour availability
  • Who handles current resident calls

Questions it's meant for

Caller: “Do you have any two-bedrooms available for March?”
Caller: “Are dogs allowed, and is there a weight limit?”
Caller: “Can I see the apartment this Saturday?”

Rules it would follow

  • Never comment on who lives in the community or the neighbourhood, or steer renters toward or away from units or areas (fair housing).
  • Never promise a unit, rent or move-in date; the leasing team confirms availability.

How assistants are released

Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.

Tools it would work with

Availability questions, all week

Apartment communities and leasing offices hear the same questions from prospective renters: any two-bedrooms for March, are dogs allowed, can I see it Saturday. Leasing agents are giving tours, and calls that ring out often move on to the next listing. Answers also need to be consistent and fair for every caller.

How the planned Leasing Assistant is meant to work

The Leasing Assistant is planned and not yet available. It is being designed to answer questions about floor plans, amenities, pet policy and parking from your approved information, ask about move-in date, unit size and household size, book in-person or self-guided tours, and explain how to apply. It would never comment on who lives in the community or steer renters toward or away from units or areas, and would never promise a unit, rent or move-in date.

Use RingMind for this today

Start from the Property Management Assistant:

  1. Business details: describe the community, its floor plans and amenities in Main services or products, plus leasing office hours and address.
  2. Knowledge Base: add approved FAQs for pet, parking and lease-term policies, how to apply and the documents required. See the Knowledge Base guide.
  3. Additional instructions: add fair housing rules: no comments on residents or the neighbourhood, no steering, and availability and rent are always confirmed by the leasing team.
  4. Connected tools: connect your leasing Google Calendar or Calendly so it can book tours, and HubSpot for prospects.
  5. Transfer list: add your leasing agents and whoever handles current residents, then turn on Transfer calls in Tools.

Renters can also text the same assistant once Answer SMS & WhatsApp is on. See AI assistant for property managers, or join early access for the dedicated assistant.

Leasing AI Assistant: questions

Is it available now?

Not yet. The Leasing Assistant is planned. Today you can set up the Property Management Assistant for leasing calls, and join early access for the dedicated version.

Can it tell renters which units are available?

Only what's in your approved knowledge, and it won't promise a unit. Live availability from a listing system isn't connected today, so the leasing team confirms it.

Can it book tours?

Yes, with the leasing calendar connected through Google Calendar, Microsoft Outlook or Calendly.

How does it handle questions about the neighbourhood?

Add fair housing rules to Additional instructions so it never comments on residents or steers renters. It can share factual amenities you approve.

Can it take an application?

No. It explains how to apply and which documents are needed, from your knowledge base.
