What the WhatsApp Business app does well
The app is free to download, quick to set up and familiar. You get a business profile, simple automated greeting and away messages, saved quick replies and labels for organising chats. For a business where one or two people reply to customers from their phones, it's often enough.
The limits show as you grow. The app's automated messages are fixed text, so they can't answer a real question. Replies depend on someone picking up a phone, and the conversation history lives on the devices linked to that account rather than in a system your team shares with calls and texts.
What RingMind does differently
RingMind connects your WhatsApp Business number through Meta's own signup window, then:
- An AI assistant replies to incoming messages from your business details and approved Knowledge Base, with the same rules it follows on calls. See the WhatsApp AI assistant.
- Your team works from a shared inbox where WhatsApp sits next to the same contact's calls and texts, with assistant and team replies labelled. See AI receptionist vs a shared inbox on its own.
- Anyone can take over a conversation from the inbox and hand it back to the assistant.
- Templates are managed in RingMind. You write templates, Meta reviews them, and RingMind shows each one's status and any rejection reason before your team sends it.
- Pictures customers send appear in the conversation.
- The same assistant answers your phone. One set of approved answers covers calls, SMS and WhatsApp. See the WhatsApp Business page.
Where the app is the better choice
- One person handles WhatsApp and is happy to reply personally from a phone.
- You don't need automated answers or a shared history with calls and texts.
- You want to try WhatsApp for business without any setup.
Where an AI assistant fits better
- Messages arrive faster than one person can reply, or outside working hours.
- Several people need to see and answer the same conversations.
- You want WhatsApp, calls and texts answered from the same approved information.
Honest limits
- WhatsApp's 24-hour window applies. Free-form replies are possible for 24 hours after the customer's last message; after that, or to message someone first, your team sends an approved template.
- Templates are text only for now, and your team can't send pictures from the inbox yet.
- Connecting a number goes through Meta's signup for business messaging. Read what Meta's signup window says about your number before you connect one you rely on in the app.
- If your WhatsApp number isn't a RingMind number, the RingMind team links it to your workspace for you.
- Messaging spend is capped per day. See SMS and WhatsApp.
