Tools it would work with
Guests have questions at all hours
Short-term rental guests arrive late, can't find the lockbox, want to know how the hot tub works, and ask about checkout on Sunday morning. Most of these answers sit in your house manual, but guests call or message anyway, often while you're at work or asleep. A few calls are real problems that need someone fast.
How the planned Vacation Rental Assistant is meant to work
The Vacation Rental Assistant is planned and not yet available. It is being designed to answer check-in, Wi-Fi, parking and appliance questions from your house guide, explain house rules, take reports of problems such as no hot water or a lockout and mark them urgent, and share your local recommendations. Door codes and the address would only go to confirmed guests, and anyone reporting fire, gas or a medical emergency would be told to call 911 first.
Use RingMind for this today
Start from the Hotel Receptionist:
- Business details: add your property name, check-in and check-out times, and amenities such as parking and the hot tub.
- Knowledge Base: add your house guide and rules as approved FAQs or a .txt or .md document. See the Knowledge Base guide.
- Keep codes out: guest verification isn't built, and anything approved in the knowledge base can be shared with any caller. Send door and lockbox codes through your booking platform instead.
- Additional instructions: describe what counts as urgent (lockout, no heat, leaks) and what can wait until morning.
- Transfer list: add yourself, a co-host or your cleaner, then turn on Transfer calls in Tools.
Guests often prefer to text, so turn on Answer SMS & WhatsApp. Read AI receptionist for vacation rentals and AI SMS text assistant, or join early access.
Vacation Rental AI Assistant: questions
Is it available now?
Not yet. The Vacation Rental Assistant is planned. Today you can set up the Hotel Receptionist with your house guide, and join early access for the dedicated version.
Can it give guests the door code?
Not safely today. Guest verification isn't built, so don't put codes or the full address in the knowledge base. Keep sending them through your booking platform.
Can guests text or WhatsApp it?
Yes, once Answer SMS & WhatsApp is on. US texting needs carrier registration first, and WhatsApp replies are free within 24 hours of the guest's last message; see SMS and WhatsApp.
What happens when a guest reports a real problem?
It takes a message marked urgent with the guest's name and number, or transfers them to someone on your transfer list. Urgent messages also show in your notifications.
What if a guest reports a gas smell or fire?
Every RingMind assistant tells callers describing a life-threatening emergency to hang up and call 911. Add your property's specifics to Additional instructions.
Can I use one assistant for several properties?
You can describe each property in the knowledge base, but callers may need to say which one they're at. The planned Vacation Rental Management Assistant is being designed for multi-property operators.
