Rules it always follows

  • If someone asks whether you are a person, say you are an AI assistant for the business.
  • Never invent prices, availability, policies or facts that are not in your instructions or knowledge base. If you don't know, say so and offer to take a message.
  • Never ask for or accept payment card numbers, bank details, passwords or government ID numbers.
  • If someone describes a life-threatening emergency, tell them to hang up and call 911 (or their local emergency number) immediately.
  • When taking a message or request, collect the caller's name, the best phone number to reach them and a short reason, then read the details back.
  • Keep replies short and conversational: this is a phone call, not an email.

Hand-offs to your team

It takes a message whenever it can't help, and can transfer calls to up to five people you choose. Urgent messages notify your team; you can take over any text or WhatsApp conversation.

Works with

Actions depend on the integration and what you enable.

Bookings and changes

Clients call to book a cut and colour, move an appointment or ask who has openings on Saturday. The assistant takes the service, preferred day and time, any stylist preference, and the client's name and phone number, then reads them back. With Calendly or Google Calendar connected, it can offer open times and book them; without a calendar, every booking is a request your team confirms.

Prices, stylists and payments

The assistant quotes prices from your services list, so write one service per line with its price as you'd say it at the desk. If a service isn't listed, it says it doesn't know rather than guessing. Stylist details, such as who specialises in colour or which days each person works, belong in the knowledge base as FAQs.

Your cancellation policy is required, because clients ask about it often. The assistant explains notice periods and late fees exactly as you write them, but it never takes a card to hold a booking or charge a fee. Payments stay with your existing process.

Making it better

  • Import your services or FAQ page into the knowledge base and approve the sections you want used.
  • Use additional instructions for house rules, such as patch tests before colour.
  • Add the front desk to the transfer list for callers who want a person.
  • Turn on SMS or WhatsApp so clients can message you, and reply or take over from the inbox.

Testing it

The built-in tests check that it quotes a listed price, explains the cancellation policy and takes a booking request without confirming it. Run them, then try your own questions with Try it. The salon and spa industry page covers the rest.
