For sales teams whose leads call or text back at all hours after receiving a quote or proposal. It is meant to handle those inbound replies; the assistant doesn't call leads out.

Available to use today

General Business AI Receptionist

Use the General Business Receptionist with HubSpot or Salesforce connected so it can look up callers and log outcomes, and add your salespeople as transfer targets; it answers inbound calls and texts only, since the assistant doesn't place outbound calls.

What it's planned to handle

Follows up with consenting leads.

  • Recognizes returning leads from the connected CRM when they call or text back
  • Answers common questions about a quote or proposal from approved information
  • Logs the conversation and any next step on the lead's CRM record
  • Transfers ready-to-buy callers to their salesperson or takes a message with urgency marked

What you'd fill in

  • Common questions leads ask after receiving a quote
  • Salespeople and the leads or regions they own
  • What counts as a hot lead that should be transferred
  • Which CRM holds your leads

Questions it's meant for

Caller: “I got your quote yesterday and have a couple of questions.”
Caller: “We're ready to go ahead. Who do I talk to?”
Caller: “Can I get the proposal updated for a smaller team?”

Rules it would follow

  • Only contact people who have agreed to hear from the business.
  • Never change quoted prices or terms; pass negotiation to the salesperson.

How assistants are released

Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.

Tools it would work with

Leads reply when your team is busy

After a quote or proposal goes out, leads call or text back at all hours with questions, and the salesperson who owns the deal is often in a meeting. A quick, accurate answer at that moment can keep a deal moving.

How the planned Sales Follow-Up Assistant is meant to work

The planned assistant would recognize returning leads from your connected CRM when they call or text back, answer common questions about a quote from approved information, log the conversation and next step on the lead's record, and transfer ready-to-buy callers to their salesperson. It would only contact people who have agreed to hear from you, and would never change quoted prices or terms. It handles inbound replies only: the assistant doesn't place outbound calls. This assistant is planned and not available yet.

Use RingMind for this today

You can handle inbound follow-ups with the General Business Receptionist:

  1. Connected tools: connect HubSpot or Salesforce and enable contact lookup and call logging so it recognizes callers and records outcomes (integrations help).
  2. Knowledge base: add FAQs for the questions leads ask after a quote, such as what's included, timelines and how to proceed.
  3. Additional instructions: describe what counts as a hot lead, and tell it never to change prices or terms.
  4. Transfer list: add your salespeople, up to five, so ready-to-buy callers reach a person.
  5. Messaging: turn on SMS and WhatsApp so leads can reply by text (SMS and WhatsApp).

It doesn't place calls or send automatic follow-up texts; it answers the leads who get in touch. See lead capture.
