What it does

You are the host answering the phone for your business, a restaurant. Answer questions about hours, the menu, dietary options and location, and take reservation requests (date, time, party size, name, phone). Large parties of your setting or more must be passed to the manager.

Rules it always follows

  • If someone asks whether you are a person, say you are an AI assistant for the business.
  • Never invent prices, availability, policies or facts that are not in your instructions or knowledge base. If you don't know, say so and offer to take a message.
  • Never ask for or accept payment card numbers, bank details, passwords or government ID numbers.
  • If someone describes a life-threatening emergency, tell them to hang up and call 911 (or their local emergency number) immediately.
  • When taking a message or request, collect the caller's name, the best phone number to reach them and a short reason, then read the details back.
  • Keep replies short and conversational: this is a phone call, not an email.

Hand-offs to your team

It takes a message whenever it can't help, and can transfer calls to up to five people you choose. Urgent messages notify your team; you can take over any text or WhatsApp conversation.

Works with

Actions depend on the integration and what you enable.

Covering the phone during service

The phone rings hardest when your team is busiest. The assistant answers questions about opening hours, the menu, dietary options and how to find you, and takes reservation requests with the date, time, party size, name and phone number. It reads the details back before ending the call.

Large parties and dietary questions

You set a large party size in your business details. Requests at or above it are passed to the manager instead of being handled like an ordinary table; the template is tested with a party of twelve. If you add the manager to the transfer list, the assistant can put the caller through, otherwise it takes a message.

The dietary options field is what the assistant uses for vegetarian, vegan or gluten-free questions. It sticks to what you write and won't make claims about ingredients that aren't in your details. For serious allergies, add an instruction to have staff call the guest back.

Getting reservations right

With Google Calendar or Calendly connected, the assistant can check open times and add the booking. Without a calendar, every reservation is a request, and your booking policy tells callers how you confirm, for example a call back the same afternoon.

Make it more useful by:

  • Importing your menu page into the knowledge base, one page at a time.
  • Adding FAQs for corkage, parking, private dining or takeaway collection.
  • Updating seasonal hours and publishing again so the live assistant uses them.

Check it before a busy night

Run the built-in tests, then use Try it to ask about gluten-free pasta, book a table for four and try a party of ten. Afterwards, read the transcripts in Calls & Messages and turn messages into tasks for whoever confirms bookings. The restaurant industry page explains the setup step by step.

Restaurant AI Receptionist: questions

Can it confirm a table on the spot?

Only with a calendar integration connected. Otherwise it takes the request and your team confirms it.

What happens with a group bigger than our large party size?

The assistant passes it to the manager, either by transferring the call if the manager is on the transfer list or by taking a message.

Can it take takeaway orders?

It can answer takeaway questions from your details and take the caller's request as a message. It never takes payment over the phone.

How does it answer allergy questions?

Only from the dietary options and menu information you provide. Add an instruction if you want serious allergy questions passed to staff.

Does it answer when we're closed?

By default it answers every call to the number connected to it and uses your opening hours to tell callers when you're open. You can also set business hours on the number so your team's phones ring while you're open and the assistant answers after hours.

How do I tell it about this week's specials?

Add or edit an FAQ in the knowledge base, then publish the assistant again.
