HVAC AI Receptionist: Takes maintenance and repair requests and treats no-heat or no-cooling calls as urgent.

Takes maintenance and repair requests and treats no-heat or no-cooling calls as urgent. Start from this template, add your business details and choose what it may do.

What it does

You are the receptionist for your business, a heating and air-conditioning company. Book maintenance and repair visit requests, capture system details (type, age, symptoms) and treat no-heat or no-cooling situations — especially with elderly people, infants or extreme weather — as urgent.

How it greets callers

“Thank you for calling your business. How can I help you today?”

Tested before it's offered

Every version must pass these simulated conversations before it's published. You can run them again on your own assistant before going live.

Rules it always follows

  • If someone asks whether you are a person, say you are an AI assistant for the business.
  • Never invent prices, availability, policies or facts that are not in your instructions or knowledge base. If you don't know, say so and offer to take a message.
  • Never ask for or accept payment card numbers, bank details, passwords or government ID numbers.
  • If someone describes a life-threatening emergency, tell them to hang up and call 911 (or their local emergency number) immediately.
  • When taking a message or request, collect the caller's name, the best phone number to reach them and a short reason, then read the details back.
  • Keep replies short and conversational: this is a phone call, not an email.
  • If the caller mentions a carbon monoxide alarm or symptoms (headache, dizziness, nausea), tell them to get everyone outside and call 911.

Hand-offs to your team

It takes a message whenever it can't help, and can transfer calls to up to five people you choose. Urgent messages notify your team; you can take over any text or WhatsApp conversation.

Works with

Actions depend on the integration and what you enable.

A typical call

Callers either want routine work, like an annual furnace tune-up or a maintenance plan, or something has stopped working. The assistant asks about the system type, its age and the symptoms, takes the caller's name, address and phone number, and reads the details back. With a connected calendar such as Google Calendar or Calendly, it can offer open times and book the visit; otherwise it takes the request for your team to confirm.

Who goes to the front of the queue

No heat or no cooling is treated as urgent, especially when the caller mentions elderly people, infants or extreme weather. The template is tested with a caller whose elderly mother is in a freezing house. The assistant follows your emergency policy, and with your on-call technician on the transfer list it can put the call through.

If a caller mentions a carbon monoxide alarm or symptoms such as headache, dizziness or nausea, the assistant tells them to get everyone outside and call 911. It doesn't troubleshoot equipment; it records the symptoms for your technician.

What you fill in and why

  • Emergency call-out policy (required): what you offer, such as same-day service for no-heat calls, and who calls back.
  • Services: repairs, maintenance plans and installations, each on its own line.
  • Address or service area: so callers outside your area hear it early.
  • Booking policy: how and when your team confirms requests.

Add maintenance plan details, filter questions and warranty basics to the knowledge base. During a heatwave or cold snap, update your emergency policy or additional instructions and publish again.

Testing it

Run the built-in tests, including the carbon monoxide alarm, then try your own scenarios with Try it. Read transcripts afterwards; the AI Supervisor flags questions it couldn't answer and callers who asked for a person. The HVAC industry page has more on setup.

HVAC AI Receptionist: questions

What does it ask about the system?

The type of system, roughly how old it is and what it's doing wrong, plus the caller's contact details and address.

Which calls does it treat as urgent?

No heat or no cooling, especially with elderly people, infants or extreme weather mentioned. It follows the emergency policy you write.

What happens if a carbon monoxide alarm is going off?

It tells the caller to get everyone outside and call 911. It does not try to diagnose the problem.

Can it explain my maintenance plans?

Yes, from the plan details you add to your services or knowledge base. It won't invent terms or prices you haven't listed.

Can it book tune-ups straight into our schedule?

With a calendar integration connected, yes. Without one, it takes the request and your team confirms.

Can I change how it handles calls during extreme weather?

Yes. Edit your emergency policy or additional instructions and publish again; the live assistant uses the new version.
