Guest Services AI Concierge
Planned — not yet availableRingMind Guest Services Concierge Brain · on the roadmap

For hotels and resorts that want staying guests to get quick answers and requests handled by phone or message without waiting for the desk. It is planned to act like a concierge who knows the property well.
Available to use today
Start from the Hotel Receptionist, add your amenity hours and local recommendations to its knowledge, and add the front desk and housekeeping lead to the transfer list.
What it's planned to handle
Recommendations and requests for staying guests.
- Answers questions about amenities, opening hours for the pool, gym, spa and restaurant.
- Takes requests for extra towels, pillows, late checkout or housekeeping and passes them to the right team.
- Shares approved recommendations for dining, activities and transport.
- Takes messages for guest relations about complaints or special occasions.
What you'd fill in
- Amenities with their hours and any booking rules
- Which requests go to housekeeping, maintenance or the front desk
- Approved local recommendations and how guests get there
- Your late checkout and room change policies
Questions it's meant for
Rules it would follow
- Never confirm a guest's room number or whether someone is staying at the hotel.
- For medical emergencies or fire, tell the caller to call 911 and alert the front desk.
How assistants are released
Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.
Tools it would work with
Small requests, constant interruptions
Staying guests call the desk for everything: when the pool closes, two more pillows, a family dinner nearby, a late checkout. Each request is simple, but they pile up at the same moments as arrivals and departures, and a guest left on hold for towels remembers it.
How the planned Guest Services Concierge is meant to work
The Guest Services Concierge is planned and not yet available. It is being designed to answer questions about amenities and opening hours, take requests for housekeeping, maintenance or late checkout and pass each one to the right team, share approved dining, activity and transport recommendations, and take messages for guest relations. It would never confirm a guest's room number, and in a medical emergency or fire it would tell the caller to call 911.
Use RingMind for this today
Start from the Hotel Receptionist:
- Business details: list amenities with their hours in Amenities, plus check-in and check-out times.
- Knowledge Base: add approved FAQs for local recommendations, how to get there, your late checkout and room change policies. See the Knowledge Base guide.
- Additional instructions: say which requests are for housekeeping, maintenance or the front desk, and that room numbers are never shared.
- Transfer list: add the front desk and your housekeeping lead, then turn on Transfer calls in Tools.
- Notify the team: with Microsoft Teams connected (Beta), the assistant can post a notification so requests reach staff quickly; otherwise they arrive as messages.
Guests can also text or WhatsApp the same assistant once Answer SMS & WhatsApp is on. See AI receptionist for hotels, or join early access for the dedicated concierge.
Guest Services AI Concierge: questions
Is it available now?
Not yet. The Guest Services Concierge is planned. Today you can use the Hotel Receptionist for amenity questions and requests, and join early access for the dedicated version.
Can it send requests to housekeeping?
It takes each request as a message, and with Microsoft Teams connected it can post a notification to your team. It doesn't connect to a housekeeping system today.
Can it recommend restaurants?
Yes, from the recommendations you approve in the knowledge base. It won't invent places or details that aren't there.
Will it share a guest's room number?
Add that rule to Additional instructions and never put room numbers in the knowledge base. The planned concierge treats it as a fixed rule.
Can it grant late checkout?
It can explain your policy and take the request for the front desk to confirm. It won't approve exceptions itself.
