Questions it's meant for
How assistants are released
Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.
Tools it would work with
Book the meeting while interest is high
When a prospect calls to learn more, the best outcome is a meeting on a salesperson's calendar before the call ends. If the caller has to wait for an email with times, the moment passes and the conversation often goes quiet. Salespeople also lose time going back and forth over availability instead of preparing for the meetings they already have.
How the planned Appointment Setter is meant to work
The planned assistant would confirm the prospect's interest and the reason for the meeting, offer open times from the right salesperson's connected calendar, book the meeting, record it on the prospect's CRM record and handle requests to move or cancel. It books meetings from inbound calls and messages only; it doesn't call prospects, as the assistant doesn't place outbound calls. This assistant is planned and not available yet.
Use RingMind for this today
The General Business Receptionist can already book meetings for people who get in touch:
- Connected tools: connect Calendly or Google Calendar and enable booking, so it offers only open times (integrations help). Connect HubSpot to capture each lead.
- Business details: list your meeting types and how long each lasts, and any minimum notice.
- Additional instructions: describe which kind of meeting goes to whom and what to ask before booking.
- Transfer list: add up to five salespeople for prospects who want to talk now.
- Knowledge base: add FAQs on what a first meeting covers, so prospects know what they're booking.
With Calendly, the booked meeting gets Calendly's own confirmation. Read more on appointment booking.
