How assistants are released
Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.
Tools it would work with
Calls that only exist to book a slot
For salons, studios, clinics' front desks and service businesses, a large share of calls are about the calendar: is Thursday free, can I move next week, how long does the first visit take. Each one is short, but together they pull someone away from the customer in front of them, and calls that ring out often turn into bookings elsewhere.
How the planned Appointment Assistant is meant to work
The Appointment Assistant is planned and not yet available. It is being designed to handle the full booking conversation: check your calendar for real open times that fit the service, book and repeat the details back, move or cancel appointments within your notice policy, answer pre-visit questions, and take a message for anything outside your rules.
Use RingMind for this today
Set up the General Business Receptionist with a connected calendar:
- Business details: list each service with how long it takes in Main services or products, plus your opening hours and address.
- How bookings and messages are handled: state your buffer times, how far ahead people can book, and your cancellation and rescheduling policy.
- Knowledge Base: add approved FAQs for parking, paperwork and what to bring. See the Knowledge Base guide.
- Connected tools: connect Calendly, Google Calendar or Microsoft Outlook, then enable the availability and booking tools on the assistant and publish. See integrations.
- Transfer list: add your front desk so callers with unusual requests can reach a person.
Today's calendar tools check availability and create bookings; moving or cancelling an existing appointment is taken as a message for your team. Read more about AI appointment booking, and join early access to hear when the dedicated assistant is ready.
Appointment AI Assistant: questions
Is it available now?
Not yet. The Appointment Assistant is planned. Today you can use the General Business Receptionist with a connected calendar, and join early access for the dedicated version.
Which calendars can it book into today?
Calendars connected through the Calendly, Google Calendar and Microsoft Outlook integrations, which are in Beta. Without one connected, it takes booking requests as messages.
Can it reschedule or cancel appointments?
Not directly today. It takes reschedule and cancellation requests as messages so your team can make the change. Handling them end to end is part of the planned assistant.
Will it double-book me?
It offers times from the connected calendar's availability. Check the first few bookings after you connect, as the integrations are still in Beta.
Does it send reminders?
The assistant doesn't make outbound calls. Calendly sends its own booking confirmations when you book through it.
Can customers book by text?
Yes, once you turn on Answer SMS & WhatsApp for the assistant. US texting needs carrier registration first; see SMS and WhatsApp.
