Available to use today

General Business AI Receptionist

Use the General Business Receptionist with your offer details as approved knowledge and HubSpot or Salesforce connected to recognize past customers; it answers the calls and texts customers send in, as the assistant doesn't place outbound calls or send automatic follow-up texts.

What it's planned to handle

Re-engages past customers who opted in.

  • Recognizes returning customers from the connected CRM when they reply
  • Explains the offer or update the campaign was about, using approved details
  • Books a return visit or service, or passes the customer to the team
  • Records opt-out requests so the customer isn't contacted again

What you'd fill in

  • The current offer or campaign details
  • Services past customers can book again
  • How opt-out requests are handled
  • Who takes over when a customer wants to talk to a person

Questions it's meant for

Caller: “I got your message about the spring offer. Is it still on?”
Caller: “It's been a while, can I book a service again?”
Caller: “Please stop contacting me.”

Rules it would follow

  • Honor every opt-out request immediately and record it.
  • Only discuss offers that are in the approved campaign details.

How assistants are released

Each RingMind assistant ships with its own instructions, safety rules and a test suite, and is offered only once every test passes. Join early access to hear when this one is ready.

Tools it would work with

Win-back campaigns create replies

When you send a win-back offer to past customers who opted in, the replies come back by phone and text, often outside office hours. Those customers are ready to rebook right then, and a slow answer can lose them again.

How the planned Customer Reactivation Assistant is meant to work

The planned assistant would recognize returning customers from your connected CRM when they reply, explain the offer from approved campaign details, book a return visit or pass the customer to your team, and record opt-out requests immediately so nobody is contacted again. It handles the calls and texts customers send in; calling or texting them first isn't available. This assistant is planned and not available yet.

Use RingMind for this today

You can answer campaign replies with the General Business Receptionist:

  1. Knowledge base: add the current offer, its terms and end date as approved FAQs, and remove them when the campaign ends (knowledge base help).
  2. Connected tools: connect HubSpot or Salesforce to recognize past customers, and Calendly if you want return visits booked.
  3. Additional instructions: tell it to discuss only offers in its knowledge and to take every opt-out request as a message for your team to record.
  4. Transfer list: add the people who should take over when a customer wants a person.
  5. Messaging: turn on SMS and WhatsApp so customers can reply by text (SMS and WhatsApp).

It doesn't place outbound calls or send automatic follow-up texts; your campaign is sent by your own tools. See the SMS text assistant page.
